Company Policy

Scheduled Classes

Class Booking Policy

  • Rain or Shine: Classes are held rain or shine. GGA hosts classes in covered spaces throughout the farm, so weather does not automatically result in cancellations or rescheduling.
  • Class Location: Guests are responsible for arriving at the correct class or event location. GGA is not responsible or liable for guests who arrive at the wrong location, use an incorrect address, or otherwise miss class or an event due to going to the wrong place.
  • Confirmation Email Address: The correct address and arrival instructions are provided in the confirmation email titled “MUST READ.” This email contains the address that will bring guests directly to the class or event location. Guests are responsible for reading this email in full before arriving.
  • Late Arrival Grace Period: GGA allows a 10-minute late arrival grace period after the scheduled class start time. After the 10-minute grace period, guests will not be permitted to enter class.
  • Late Arrivals and Wrong Location No-Shows: Arriving late, arriving at the wrong location, or missing class because of travel to an incorrect address will be treated as a no-show. No refunds or credits will be issued in these situations.
  • No Spectators: Entry to the premises during any Activity is limited to active participants only. Every person who enters must purchase a class pass, agree to and sign the waiver, and participate.
  • Minors May Attend Without an Adult: A minor under 18, ages 13 and older, may attend an Activity without an accompanying adult if GGA determines the minor is capable of safe, independent participation and all required forms and waivers are signed by a parent or legal guardian in advance.
  • When an Adult Must Attend: If a parent or guardian wishes to accompany a minor, or if GGA determines a minor is too young, age 12 or under, or otherwise requires on-site supervision, the accompanying adult must also purchase a class pass and actively participate in the Activity.
  • Responsibility: The signing adult understands they will remain responsible, whether in attendance or not, for the minor’s conduct and compliance with GGA rules at all times.

Rescheduling Policy

  • Rescheduling: Rescheduling is allowed if requested more than 24 hours before your scheduled class time.
  • Rescheduling Requirement: You must specify the session you wish to reschedule for at the time of the request.

Cancellation Policy

  • Grace Period: After booking, you have a 2-hour grace period to cancel your session and receive a full refund. You must contact us to request the refund.
  • Post-Grace Period: After the 2-hour grace period, cancellations will not be eligible for a refund. Instead, class credit will be offered. Class credits never expire.
  • Late Cancellations: If you cancel 24 hours or less before class, no refund will be offered.
  • Re-booking After Late Cancellation: If you cancel 24 hours or less before class, you may re-book the same slots for the same class, subject to availability.
  • No-Shows: No-shows are ineligible for refunds or credits. This includes, but is not limited to, failure to attend, arriving after the 10-minute late arrival grace period, arriving at the wrong location, or missing class due to use of an incorrect address.
  • Post-Grace Period within Late Cancellations: The post-grace-period class credit option is not honored within the late cancellation period.
  • GGA Cancellations: If GGA cancels any classes, special events, or private events, you will be eligible for a full refund.

Refund Processing

  • Debit/ACH Refunds: Refunds take 5 to 7 business days to process from the date we execute the refund.
  • Refunds are not processed automatically. You must contact us to request a refund. Otherwise, your payment will remain as a credit on your account, which never expires.

Special Event Bookings

  • Special event bookings are NON-REFUNDABLE, no exceptions.
  • If GGA cancels the event, you will be eligible for a full refund.
  • We do not reschedule special event bookings.

Discount Code Rules

  • Discount codes must be entered at checkout in order to apply.
  • If GGA is booking on behalf of the client, the client must provide the discount code before payment is taken.
  • We cannot reverse any transactions or offer any partial refunds for forgetting to use a code.

Private Events

  • Non-Refundable Deposit: A 50% deposit is required at the time of booking and is NON-REFUNDABLE.
  • Headcount Adjustments: You may increase your headcount up until 3 days before the event. However, if your headcount decreases, refunds will not be provided for the reduced number of attendees.
  • Remaining Balance: The remaining balance is due 3 days before the event date.
  • Cancellations by GGA: If GGA cancels your event, you will receive a full refund.

Rescheduling Policy for Private Events

  • Rescheduling by GGA: If GGA initiates a reschedule, there will be no additional cost to you.
  • Rescheduling by You: If you request a reschedule, a new 50% non-refundable deposit will be required to secure the new date.
  • Weather-Related Reschedules: Rescheduling due to weather conditions (for outdoor events only) will also be at no cost to you. GGA must be notified 6 hours in advance for this policy to apply. You must have a rainy day alternative date selected during the contracting phase.

Kids Camp Refund Policies

  • Full Refund: Cancellations made at least 21 days before the camp start date.
  • Partial Refund: Cancellations made 15–20 days before the start date will be eligible for a 50% refund.
  • No Refund: Cancellations made 14 days or less before the camp start date will not be eligible for a refund, except for medical reasons (with a doctor’s note).
  • Summer Camp Transfers:
    • If you need to transfer from June to July camp, there will be a $50 transfer fee, and this must be done at least 14 days before the start of the original camp session.
    • Transfers for the July session will not be allowed under any circumstances.

Membership Usage Policies

  • 2-Class Options: This option does not include Cow Cuddling classes.
  • Class Options: All memberships include standard classes only and do not include special events or partnership classes.
  • No Rollovers: Unused classes cannot be carried over to the following month.
  • Non-Transferable: Membership benefits are exclusive to the individual member and cannot be shared. Each attendee must have their own membership.

Payment Policies for Memberships

  • Auto-Pay Requirement: A valid credit card must be on file in Arketa and set to auto-pay.
  • Payment Failures: If a payment fails, the outstanding balance must be paid before attending future classes.
  • Membership Holds: Memberships may be paused at any time. While your membership is on hold, scheduled payments will be skipped, and billing will resume once the membership is reactivated. Please note that class passes included with your membership cannot be redeemed while the membership is paused.

Cancellation and Rescheduling Policies for Memberships

  • Rescheduling: Standard rescheduling policies apply.
  • Membership Cancellation: You may cancel your membership at any time through Arketa. Please note that memberships allow you to reserve classes beyond your current billing period, including future months. However, an active membership is required to keep those reservations. If your membership is canceled, all reservations associated with it will be canceled immediately.
  • Refunds: No refunds will be issued under any circumstances.
